Cookie Survey from Council

We discussed issues that occurred in the Nashua Service Unit during the cookie sale.  Council asked us to come up with suggestions for these issues.

 

Registration

Early Re-Registrations are due to your Registrar in early June.  If you’re not participating, you should return your forms to your Registrar for safe-keeping.

Collect the $10 registration fee from each of your girls and adults.  Deposit money in your troop account and write ONE check to GSSWC for the total amount of girls and adults that you are registering.

You need to keep the yellow copies of both the registration forms and the Dues Summary page.  The Dues summary is your receipt showing how many girls and adults you paid for.  Keep that with your important troop records. 


Every girl who participates in early re-registration will receive a free patch this fall.  There is no event this year.


In order to participate, you must have 5 girls and 1 adult register with your troop.  However, Older Girl troops (Cadette and up) will be allowed to register with less than 5 members.  Let your Registrar know if you’re in this situation.


If you work with more than one troop or hold a Service Team position in addition to being a leader, please indicate ALL positions and troops on your adult registration forms. 

If you or any of the girls are bridging to a new troop for fall, they must register with the NEW troop.  It makes much more work for the Registrar in the fall if they have to start transferring girls from one troop to another.  Please plan ahead. 

Due to the merger, all troop numbers have gone to 5 digits for 08-09.  If you currently have a 1, 2, 3 or 4 digit number, you will have additional digits added to the beginning (for example, troop 123 might become troop 20123).  You DO NOT have to have girls add numbers to their vests or sashes.  This is simply a paperwork issue.  You need to be aware of your 5 digit number and will need to use it on all registrations, fall product paperwork, cookie paperwork and basically anything else that you send to council.   New troops will all get 5 digit numbers.

Our next Meeting is June 5th – there will be no meeting in July. 

 

Date for August leader meeting?  1st Thursday had very low turn-out last year

New year Kick-off and Fall Product Sale training is Saturday, Aug 16th

Thursday, Aug 21 is not available

We need an August meeting to plan for the Chester Fair.

Please check your calendar so we can set the date next month.

Debbie suggested August 14th as a possible date.

Gave each troop a camp packet. 

 

Scout Day at Chester Academy

Thursday, May 22nd.  Please ask your Girl Scouts to wear their GS uniform to school. 

Scouts will be doing the Flag ceremony in the morning and afternoon.

The Tri-Town times is supposed to be sending a photographer to take pictures of the flag ceremony. 

 

Court of Awards and Bridging Ceremony

Monday, June 16th, 7:00 MPR

We decided to do a slide show again.  Please send 5 pictures per troop to Nancy as soon as possible. 

It was suggested to make each picture last a little longer and also to show it both at the beginning as people are coming in and again during the program.

Please send a list of your currently active members to Nancy for the program.

 

Open Position – Fall Product Sale Delivery Manager

Mary Young volunteered to be our Fall Product Delivery Manager for next year.  THANK YOU MARY!!

 

Chester Fair

Date of Fair is Saturday, September 6th

Debbie would like to make some changes.  She will work on some suggestions for an upcoming meeting.

 

Fall Girl’s Event

We tentatively set the date of October 19th, 2009 for this year’s event.  Please check your calendar for conflicts.

Jodie asked about storing some things at the Scout room behind the MPR.  Cindy will ask Steph about it.

 

Debbie asked if we could not make decisions via email, only at leader meetings unless it was a small issue or we had no choice.

Early Re-Registration forms

Please pick up your early re-registration forms from Karen B. ASAP.  They must be returned to her no later than June 1 or by the June leader meeting.

 

Finance Reports

Please have your completed Year-end Finance report to Kim by June 1st.  She needs time to check and copy them before turning them in to Nancy by June 15th.                                                                                                                                                                                                                     

 

Bring a Friend Event

At the last Leader meeting, it was decided that Auburn would try doing a Bring a Friend event next fall.  Planning should begin over the summer to choose the theme and the crafts that will be made by the girls.

Flyers should be distributed at least 3-4 weeks before the scheduled date so you can have them back at least 10-14 days in advance.  This will allow you enough time to get supplies, etc.

The normal cost for this type of event is $5 per girl.  The town will need to purchase non-member insurance to cover the friends.

Background Check Forms

I will need signed background forms from the following leaders.  If you have lived or worked in Mass in the last 5 years, I will also need the Mass CORI form.
